Terms of service
Last updated 4 October 2026
These terms are an agreement between Cozyva (“Cozyva”, “we”) and the hotel or business that creates a Cozyva account (“you”). By creating an account or using Cozyva, you agree to them on behalf of that business. If you don't have authority to do that, please don't sign up.
Guests who scan a code in a room don't need to accept these terms; their use of Cozyva is part of the hotel's service to them.
1.The service
Cozyva gives your hotel a guest web app reached from codes in your rooms and spaces, an inbox and dashboard for your team, menus and in-room ordering, and — on the Connect plan — copies of requests sent to WhatsApp numbers you choose.
We improve Cozyva over time. We may change or remove features, but we won't remove a core part of your plan during a paid period without telling you first.
2.Your account and team
- Give accurate information when you sign up and keep it up to date.
- You decide who is on your team and what role they have. You're responsible for what your team does in your account.
- Keep passwords private. Tell us straight away if you think someone has got into your account.
- You must be able to enter into a business agreement where you are based.
3.Plans, prices and payment
- Setting up is free. Billing starts on the day you go live and your codes start taking requests.
- You pay per room per month for your plan, at the prices published on our website when each invoice is made. Volume discounts apply automatically by room count. Prices exclude GST and other taxes, which are added where they apply.
- Changes to your room count or plan apply from your next invoice. Past invoices are never changed.
- If we change our prices, the new prices apply from the next invoice after the change, not to invoices already issued.
- If an invoice isn't paid, we may suspend your account. While suspended, guests see a page saying digital requests are paused, and your information is kept. Paying the outstanding amount reactivates the account.
4.Acceptable use
Use Cozyva for running guest services at your property. Don't:
- use it to send spam, or to message people who haven't asked to hear from you;
- put unlawful, misleading or harmful content on the guest app;
- try to get into other hotels' data, test or break our security, or overload the service;
- copy, resell or build a competing product from Cozyva.
You must follow WhatsApp's own terms and policies for any numbers you connect.
5.Your content and data
Your hotel's information — rooms, services, menus, branding and guest requests — belongs to you. You give us permission to store and process it only to provide, secure and support Cozyva for you, as described in our privacy policy.
You're responsible for what your guest app says: menu items, prices, allergen information, opening hours and replies. Make sure it's accurate and that you have the right to use any logos and photos you upload.
You're responsible for telling your guests how you handle their requests, including that they're processed using Cozyva.
6.WhatsApp and other services
WhatsApp copies depend on Meta's service and on the numbers you provide, and they can fail. Every request is saved in Cozyva first and stays in your inbox whether or not a copy is delivered; Cozyva flags requests whose copy failed. Treat the Cozyva inbox as the record of what guests asked for.
7.Support access
To help you, Cozyva support may ask to see parts of your setup. We only get access if a hotel admin approves the request, only to the areas approved, and only for a limited time. Every access is logged in your audit log. We never see guest conversations.
8.Availability
We work to keep Cozyva running and to fix problems quickly, but we can't promise it will never be interrupted — for example during maintenance, or when a provider we rely on has an outage. Requests guests have already sent are kept and shown when service resumes.
9.Ending the agreement
You can stop using Cozyva at any time by asking us to deactivate your account; billing stops at the end of the current period. We may suspend or end your account if you seriously or repeatedly break these terms, or if you don't pay.
After deactivation you can still read your history and invoices for a while, and you can ask us to reactivate. You can ask us to permanently delete a deactivated account and its data. Ask us for a copy of your information before deletion if you need one.
10.Warranties and liability
Cozyva is provided as it is. As far as the law allows, we don't give promises beyond those in these terms — for example, that it will meet every need of your hotel or be free of every error.
As far as the law allows, neither side is liable to the other for indirect or consequential losses, such as lost profits or lost bookings. Our total liability to you for anything related to Cozyva in any twelve months is limited to the fees you paid us in those twelve months. Nothing in these terms limits liability that can't be limited by law.
11.Changes to these terms
We may update these terms. We'll change the date at the top, and for changes that materially affect you we'll tell hotel admins before they take effect. Continuing to use Cozyva after that means you accept the updated terms.
12.Law and disputes
These terms are governed by the laws of India. If a dispute comes up, please contact us first so we can try to resolve it; if we can't, the courts of India will have jurisdiction.
